What Happens After Submission

Once you submit your materials to DEAC, your attention shifts from preparation to review, clarification, and Commission action. Understanding what happens after submission helps leadership plan communications, respond to requests, and manage internal expectations.

DEAC’s public materials describe a process that includes staff and reader review, potential requests for clarification or additional information, site visits where applicable, and Commission decision-making at scheduled meetings.

Initial acceptance and completeness review

After submission, DEAC reviews materials for completeness and alignment with procedural requirements. If key elements are missing or need clarification, institutions may be asked to provide additional information or corrections.

Institutions should be prepared to respond promptly and thoroughly, using the same evidence-based approach as in the original submission.

Staff and reader review

DEAC uses a review process in which staff and designated readers examine the institution’s materials against the standards. They assess whether the evidence supports claims of compliance, whether there are inconsistencies, and whether any standards appear to be only partially met.

Institutions may receive inquiries or requests for additional documentation during this stage. Timely and organized responses can help clarify questions before the matter is presented to the Commission.

Site visits (where applicable)

For many institutional accreditations, a site visit or review visit is part of the evaluation process. Even for distance education, visits might include on-site components, virtual components, or both, depending on DEAC’s procedures.

Ensure that evidence used in self-evaluation is accessible to visitors, that key personnel are available for meetings, and that representatives of your institution can explain processes and outcomes consistently with the written materials.

Public notice and institutions under consideration

DEAC publishes lists of institutions to be considered at upcoming Commission meetings and invites public comment. This is part of DEAC’s transparency and public accountability. It is a good idea to

  • Monitor DEAC’s notices to confirm how your institution is described
  • Prepare internal talking points explaining what it means to be under consideration
  • Ensure that public communications are accurate and avoid overstatement

Being listed for Commission consideration does not predetermine the outcome, and institutions should avoid implying otherwise.

Commission meeting and actions

At scheduled meetings, the Commission reviews recommendations and supporting information about each institution under consideration. Possible Commission actions may include granting, reaffirming, deferring, or denying accreditation, or imposing conditions or reporting requirements, depending on the circumstances.

Institutions should be prepared for the possibility that the Commission may require follow-up reporting, monitoring, or additional documentation even when accreditation is granted or reaffirmed.

Communicating outcomes

DEAC’s public notices and Commission reports provide information about actions taken. Your institution must communicate outcomes accurately to students, regulators, and other stakeholders, using language consistent with DEAC’s descriptions.

Internal communications should also address any required follow-up, including timelines and responsible parties for fulfilling conditions, submitting reports, or implementing changes.

Planning for follow-up and continuous improvement

Whether the outcome is favorable or conditional, institutions should view Commission action as part of a continuous improvement cycle. This means:

  • Incorporating any DEAC feedback into planning and oversight
  • Updating the evidence map and documentation to reflect changes
  • Ensuring ongoing compliance, not just point-in-time readiness

By treating the post-submission period as a bridge to the next cycle of improvement, institutions can maintain stronger long-term alignment with DEAC standards.
